Legal Accounting and Administration Clerk – Estate & Trust Litigation

T&B is currently recruiting a Legal Accounting Clerk to join our team in our Halifax, NS office. This position is a full-time, 12-month contract position to provide coverage for a maternity leave, with the possibility of extension. The successful candidate is directly responsible for assisting in all phases of client billing, including bill preparation, submission, follow-up, and communication with clients and Partners. They will also assist with general administrative tasks as needed.
Primary Responsibilities include, but are not limited to:
- Preparing bills for clients on a monthly or on-request basis, including:
- Processing, reviewing, and editing pre-bills
- Preparing final bills for lawyers’ approval
- Submitting final bills to clients
- Attending to accounts receivable follow-ups and collections communications
- Proactively monitoring and reviewing the billing system and firm’s bank accounts to ensure that client data is kept current and accurate.
- Processing and recording client payments, including credit card, cheque, EFT, and wire payments.
- Processing accounts payable and third-party payments, including vendor invoices and reimbursements.
- Liaising with firm’s bookkeeper to reconcile accounts monthly.
- Reviewing and posting vendor invoices to client files, where applicable.
- Receiving and applying retainer funds as directed by Partners and ensuring timely and accurate records of such receipts.
- Providing general administrate support to lawyers.
The successful candidate should possess the following:
- Experience in a law firm or professional environment.
- College Diploma in Accounting or Business Administration.
- Basic knowledge of accounting principles and internal controls.
- Proficiency with MS Office 365 (Word, Excel, Outlook, PowerPoint, Teams).
- Soluno or equivalent accounting software experience.
- Good organizational skills and excellent attention to detail.
