WHAT YOU NEED:
• Successful completion of a legal assistant or office administration program, or equivalent experience
• Experience working in a client service role is considered a strong asset
• Proficiency with technology (i.e., Microsoft Office programs, VOIP, and teleconferencing systems, etc.)
• Keen attention to detail when proofreading documents and preparing packages for court/opposing parties
• Friendly, helpful, and personable demeanor
• Ability to work independently and under pressure
• Solid time management and prioritizing abilities
• Superior active listening and communication skills
• Proficiency with Office 365, including Excel and SharePoint
• Experience using PC Law and TrialWorks case management software is considered an asset, though on-the-job training will be provided
YOUR RESPONSIBILITIES WILL INCLUDE:
• Accurately and efficiently compiling court documents and correspondence to opposing parties and third parties, which may include drafting enclosing letters, copying, binding, couriering, and emailing
• Managing lawyers’ schedules by organizing calendars, arranging meetings, and booking conference rooms
• Managing the docket system on the case management software we use, TrialWorks
• Providing excellent client service when collecting payments from clients regarding their files
• Compiling, proofreading, binding, and packaging drafts of contracts, leases, licenses, policies, and other legal documents
• Daily record-keeping with electronic and physical filing of documents
• Liaising with clients to collect information, update on the status of files, and arrange meetings with the legal team
• Ensuring disbursements are properly entered in PC Law
• Regularly checking in with assigned paralegals and lawyers to adjust priorities and ensure deadlines are met
• Supporting other legal assistants/teams during large caseloads and providing backup support for sick/vacation coverage
