We are seeking an Executive Administrative Assistant to support out team. The individual filling this client-facing position should have excellent oral and written communication skills and be able to work independently in a busy law practice.
This role involves professionally interacting with other staff, clients and third parties, managing schedules and files, preparing correspondence, formatting briefs, and other documents. We offer the latest in technology, great office space and a competitive compensation and benefits package.
Experience in a law firm is an asset, but candidates who have comparable experience in another field and who are competent with programs such as Word, Acrobat PRO and Excel and who are comfortable learning new software programs will be considered.
Job Title: Executive Administrative Assistant
Reports to: Founder and Principal
Job Description: The position will include preparing correspondence, reports, and other documents; managing and responding to emails and phone calls; scheduling appointments, mediations, arbitrations, and discoveries; coordinating client activities (booking meeting rooms, answering phones, and greeting clients); organizing and maintaining client files; dictations.
Knowledge, Qualities & Experience Required:
• An undergraduate degree is preferred;, however, varying combinations of
education and experience may be accepted.
• Advanced knowledge of Microsoft Word and Adobe PRO and experience with Document Management is an asset along with an understanding of litigation procedures.
• Excellent transcription and proof-reading skills.
• Be highly organized and pay meticulous attention to details.
• An adaptive learner with an aptitude for computers and various software programs.
• Effective communication, organizational, problem-solving, decision-making and project management skills.
• Collaborator providing exceptional levels of service to clients, lawyers, and colleagues.
• Ability to manage multiple priorities and remain productive within a time-sensitive and challenging environment.
• Exhibit common sense, patience, and a sense of teamwork.
