Administrative Lead

Full Time, Permanent – Within the Labour Relations and Compensation Analysis Department

The LRCA Department is comprised of labour lawyers, compensation specialists, a director and support staff. The newly created position of Administrative Lead reports to the Director providing executive and administrative support to the Director and others as assigned; coordinates the work and supervises the other administrative assistants; and, with a collaborative leadership style, coordinates and leads the implementation of effective administrative processes and practices to support the smooth and effective running of the Labour Relations and Compensation Analysis department. This includes file opening and closing, scheduling, filing, correspondence, “bring forward systems”, data base upkeep, preparing reports, organizing work and schedules, providing administrative assistance with IT related matters, all preparations and management for logistical aspects of meetings, conferences etc., proof reading, formatting, collating, photocopying, binding documents, preparing expense reports, processing invoices, booking travel. This role requires knowledge and experience in modern office practices that optimize technology.

Qualifications and Experience

– Minimum high school completion and recognized secretarial or office administration program diploma
– Five (5) or more of relevant administrative experience in progressively more complex and leadership-oriented positions
– Administrative work within a legal environment or specialized knowledge and/or experience pertaining to labour law would be an asset
– Previous supervisory experience would be an asset

Equivalency established through alternate qualifications and/or experience may be considered.

Technology Skills Proficient in Word, Outlook, Excel, PowerPoint with the interest and ability to learn other programs including but not limited to SharePoint, Lawbase, “DM” document management database, Westlaw, Quicklaw. Comfortable trouble shooting and assisting others in optimizing technology.
